The post holder will work as part of the Planned Care secretarial group providing typing and general administrative services to the Directorate, in support of the work of consultants and other clinical staff in providing a high standard of patient care. As part of an administrative and secretarial team you will work towards Department, Directorate and Trust performance and quality targets.
Job Responsibility:
Type on a daily basis clinic letters, general letters, discharges and other patient related documentation
Responsible for managing the Straight to Test Tracker as part of a job share
Delivering the 2ww Referral paperwork for Triage to the consultants on a daily basis as part of a job share
Ensuring the Choose and Book patient's referrals are received by the consultants to Triage on a regular basis as part of a job share
Providing support to secretarial group and Management to ensure Consultant Reviews are actioned in a timely manner
File tests and loose histories regularly as appropriate
Type letters and reports as required within agreed timescales for any of the specialties within the Planned Care Directorate subject to training
Retrieve, log and return casenotes/medical records, keeping these in accordance with Trust policy
Communicate efficiently and professionally with colleagues, clinicians, other Trust personnel, and external agencies at all levels
Maintain a working knowledge of hospital systems so that enquiries can be dealt with efficiently and appropriately
Very occasionally, take and provide minutes of meeting as required
Participate in team meetings, audits and reviews as instructed by Team Leader in order to generate ideas for service improvement
Use own initiative when dealing with enquiries, ensuring all local procedures and Trust procedures and policies are adhered to
Responsible for working within safe systems of work, especially in terms of handling patient case notes
Comply with all statutory regulations, procedures, Trust standing orders, standing financial instructions and Trust policies in general
Requirements:
Educated to GCSE Grade C in English (or equivalent qualification)
Additional Evidence of good basic education to GCE/GCSE standard
RSA II or equivalent in secretarial skills and typing
Demonstrable working knowledge of Microsoft packages (esp. Word and Outlook)
Willingness to actively seek personal development and training
Experience of secretarial work
Knowledge of medical terminology
Experience of working within an office environment
Ability to prioritise workload
Maintenance of computerised files
Demonstrable experience of providing customer care
Current right to work in the UK which enables you to undertake the role without need of sponsorship
