Our client, a community-focused healthcare organization, is seeking a Medical Scheduler to support daily front office operations in a fast-paced clinical environment. This position is responsible for coordinating patient appointments, managing check-in and check-out, verifying insurance information, collecting payments, and ensuring accurate patient data entry. The ideal candidate will bring strong administrative experience, excellent customer service skills, and the ability to thrive in a high-volume setting serving a diverse patient population. This role is especially important within a Federally Qualified Health Center environment, where patients may require assistance with insurance verification, eligibility documentation, and access to affordable care services. The Medical Scheduler will help create an efficient, welcoming, and patient-centered experience while supporting providers and clinical staff. Hours: Monday - Friday 8am - 5pm
Job Responsibility
Schedule and confirm patient appointments
Manage patient check-in and check-out processes
Collect patient payments and prepare payment batches for posting
Verify insurance eligibility and enter insurance information accurately into the system
Gather and update patient demographic and registration details
Answer incoming calls, direct calls appropriately, and document messages
Monitor voicemail and respond or escalate as needed
Maintain accurate phone notes within patient records
Scan and upload documentation into electronic charts
Complete prior authorizations for insurance as required
Receive lab cases and coordinate pickups with lab vendors
Support medical records and other administrative functions as assigned
Provide front office coverage for absent team members when needed
Participate in staff meetings and team communications
Maintain an organized, professional, and confidential work environment
Deliver excellent service to patients, visitors, and coworkers
Perform additional duties as assigned
Requirements
High school diploma or equivalent required
Minimum of 2 years of experience in a medical practice, dental office, or clinic administrative role
Proficiency with Windows-based computer systems
Strong verbal communication and customer service skills
Ability to prioritize, multitask, and problem-solve in a busy office setting
Working knowledge of dental terminology
Strong attention to detail and organizational skills
Ability to work effectively with diverse patient populations
Professional, empathetic, and service-oriented communication style
Ability to adapt to changing priorities and patient volume
Team-oriented mindset with a willingness to support shared office responsibilities
