Job Description:

ONSITE POSITION – We are looking for a highly-organized Medical Records Administrative Assistant to support our client in SeaTac, Washington. This strictly back-office role is dedicated to effective record-keeping, quality checks, and support activities—not patient interaction or Release of Information requests. This is a long-term contract, Monday – Friday, 8am–5pm.

Job Responsibility:

  • Scan, upload, and index incoming medical documents to the appropriate records within the EHR and document management platforms
  • Routinely audit records for accuracy and completeness, flagging discrepancies for team review
  • Maintain updated databases and inventory logs for both paper and electronic files
  • Support the organization, purging, and archiving of inactive records in line with retention schedules and policies
  • Coordinate with team members to reconcile duplicate entries, resolve filing errors, or update missing documentation
  • Prepare files for internal audits, compliance reviews, or routine departmental checks
  • Assist with ongoing records system improvement projects strictly within the records group
  • Always adhere to HIPAA, state laws, and organizational privacy/security protocols for all record handling

Requirements:

  • High school diploma or equivalent required
  • coursework or certification in medical administration or health information technology preferred
  • Minimum of one year of administrative experience focused on records or data management, ideally in healthcare
  • Proficient in EHR systems (such as Epic) and standard office software
  • Sharp attention to detail and organization
  • Demonstrated ability to manage confidential data
  • Knowledge of HIPAA and data privacy standards
  • Ability to support a fast-paced records team in a non-patient-facing role
