Job Description

The Medical Front Desk Coordinator is responsible for creating a welcoming and efficient front office environment for a healthcare practice or medical facility. This role serves as the first point of contact for patients and visitors, managing the reception area, appointment scheduling, patient check-in/check-out, and performing various administrative tasks to support smooth daily operations.

Job Responsibility

  • Greet patients and visitors professionally, answer phones, and respond to inquiries in a courteous manner
  • Handle patient registration, and verify insurance information
  • Schedule, confirm, and reschedule patient appointments using medical practice software
  • Maintain organized patient records and ensure confidentiality in compliance with HIPAA regulations
  • Facilitate patient check-in/check-out, distribute required forms, and assist with pre-visit paperwork
  • Coordinate communication between patients, medical staff, and physicians
  • Process incoming and outgoing correspondence, including faxes and emails
  • Assist with data entry, billing support, and reporting as required
  • Manage office supplies inventory and maintain cleanliness of the reception area

Requirements

  • Previous experience in a medical office or healthcare front desk role strongly desired
  • Strong interpersonal, communication, and problem-solving skills
  • Proficiency with electronic health records (EHR) systems and common office software
  • Ability to multitask, manage time effectively, and maintain professionalism in a fast-paced environment
  • Understanding of medical terminology and basic insurance processes is a plus
