Job Description

A healthcare company is seeking a polished, highly organized, and proactive Medical Executive Assistant to support executive leadership within a healthcare organization. This role is ideal for someone who thrives in a fast-paced medical environment and can manage high-level administrative responsibilities with professionalism, discretion, and efficiency. The Medical Executive Assistant will provide direct support to senior leadership while helping coordinate daily operations, communications, scheduling, and special projects.

Job Responsibility

  • Provide high-level administrative support to executive leadership in a healthcare setting
  • Manage complex calendars, schedule meetings, and coordinate appointments and travel arrangements
  • Prepare correspondence, reports, presentations, and other executive documents
  • Serve as a liaison between executives, physicians, staff, patients, and external partners
  • Screen calls, manage email communications, and handle sensitive information with confidentiality
  • Coordinate meetings, prepare agendas, take notes, and follow up on action items
  • Support special projects, departmental initiatives, and operational tasks as assigned
  • Maintain organized records, files, and documentation in compliance with internal policies and HIPAA guidelines
  • Assist with physician credentialing documents, contracts, invoices, or other administrative processes as needed
  • Help ensure efficient daily operations and executive workflow within the medical office or healthcare organization

Requirements

  • Minimum of 3 years of executive assistant or senior administrative support experience, preferably in a healthcare or medical setting
  • Experience supporting senior leaders, physicians, or medical executives strongly preferred
  • Excellent organizational, time management, and multitasking skills
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and attention to detail
  • Proficiency with Microsoft Office Suite, calendar management tools, and EMR or healthcare systems is a plus
  • Ability to work independently, prioritize effectively, and adapt in a fast-paced environment
  • Familiarity with medical terminology, healthcare operations, and HIPAA regulations preferred
