Job Description:

We are seeking a Mechanical Construction Administrator to support the construction phase of mechanical projects involving HVAC and plumbing systems for hospitals, schools, residential, and high-rise buildings. This role is primarily focused on construction documentation, coordination, and records management, with a clear development path toward a Senior Mechanical Construction Administrator role. This position is ideal for professionals with early to mid-career experience who are looking to deepen their technical expertise and grow into a more field-focused construction administration role over time.

Job Responsibility:

  • Maintain accurate and organized project records, including drawings, specifications, correspondence, submittals, RFIs, site instructions, and reports
  • Log, track, and coordinate mechanical submittals and RFIs, ensuring timely review and distribution
  • Assist with the technical review of contractor submittals for completeness and compliance with contract documents
  • Support preparation of site review reports, deficiency lists, non-conformance reports, and punch lists
  • Coordinate document flow between internal teams, consultants, contractors, and clients
  • Maintain project documentation within construction management platforms
  • Assist senior staff in responding to site queries and resolving construction issues
  • Participate in site visits as required to build field knowledge and inspection experience

Requirements:

  • 1-3 years of experience in mechanical construction administration, engineering, consulting, or a related construction environment
  • Education or background in Mechanical Engineering Technology, Mechanical Engineering, or Trade background (Plumbing, HVAC, Pipefitting, Refrigeration) is an asset
  • Working knowledge of mechanical systems, construction documentation, and drawing interpretation
  • Ability to read and interpret mechanical drawings and specifications
  • Strong organizational and document management skills
  • Proficiency in Microsoft Word and Bluebeam Revu
  • Experience with construction management software such as Procore, Fieldwire, Newforma, Autodesk Build, and or Part 3 is an asset
  • Clear written and verbal communication skills
  • Detail-oriented, dependable, and comfortable working in a fast-paced construction environment

Nice to have:

  • Trade background (Plumbing, HVAC, Pipefitting, Refrigeration) is an asset
  • Experience with construction management software such as Procore, Fieldwire, Newforma, Autodesk Build, and or Part 3 is an asset
