The MDT Pathway Coordinator is responsible to ensure the effective coordination of the Breast Programme Multidisciplinary Team (MDT) service at Blackrock Clinic. This role supports accurate tracking of patient journeys, organisation of MDT meetings, compliance with NCCP and other regulatory and accreditation standards, and smooth communication between clinical teams. The post-holder provides essential operational support to the Breast Service MDT and may also assist other tumour-site MDTs as required by Blackrock Health.
Job Responsibility:
Assist in developing early MDT processes, documentation templates, SOPs, and workflow standards
Set up MDT schedules, digital platforms, meeting templates, and information-sharing pathways
Ensure MDT structures and processes align with NCCP tumour-site and regulatory standards
Support preparation for “go live” and contribute to ongoing service development
Schedule and organise MDT meetings, circulate case lists, and ensure all relevant information is available in a timely manner
Liaise closely with radiology, pathology, medical oncology, radiation oncology, surgery, and nursing teams to ensure complete case preparation
Record MDT discussions and ensure all minutes of the MDT discussions and outcomes are reflected within the patient records accurately and within a timely manner
Disseminate decisions and MDT patient outcomes to the relevant teams within a timely manner
Monitor MDT member attendance and ensure this is communicated to the chair on a quarterly basis
Maintain a live Patient Tracking List (PTL) for all patients on the MDT pathway
Track each patient from referral through diagnosis and treatment initiation
Identify delays early and escalate appropriately
Coordinate diagnostics and information flow between internal teams and external providers
Support efficient progression of patients through the breast cancer pathway in line with NCCP expectations
Maintain accurate MDT datasets for audit, peer review, and NCCP reporting
Ensure correct and timely documentation of MDT outcomes and pathway milestones
Assist with internal audits, quality assurance processes, and external compliance checks
Uphold data confidentiality according to hospital and regulatory standards
Act as the primary coordination point for MDT-related queries from clinical and administrative teams
Communicate MDT decisions promptly to surgeons, oncologists, radiologists, pathologists, CNS teams, and referrers
Facilitate communication across departments and tumour sites (within defined scope)
Ensure information flows smoothly and accurately to support safe, timely care
Be familiar with the hospital’s overarching governance structures
Escalate any pathway delays, safety risks, missing information, or operational concerns to the Clinical Director and General Manager
Maintain MDT attendance records, action logs, and documentation for governance reviews
Support quality improvement initiatives and service optimisation projects
Participate in MDT governance meetings when required
Provide administrative and coordination support to other tumour-site MDTs as required
Assist with cross-cover arrangements during staff absence or service expansion
Ensure consistent reliability of MDT support across the cancer service within in Blackrock Health Group
Maintain awareness of personal training needs relevant to MDT coordination and cancer pathway management
Engage in continuous professional development, including NCCP modules, data quality training, and information governance updates
Participate in annual appraisal and seek opportunities to enhance skills aligned with service needs
Requirements:
Satisfactory experience as a Clerical Officer in a hospital setting
OR hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI)
Minimum 3 years’ experience in an administrative role or equivalent in a healthcare organisation
Minimum 2 years' experience at a supervisory level in administration role in a hospital setting
Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office
Excellent organisational and multitasking skills
Strong communication and team coordination abilities
High accuracy with data and documentation
Competent IT and digital platform skills
Ability to work under pressure and meet deadlines
Able to work effectively with multidisciplinary teams
