Job Description:

Supporting the operational, financial, and systems infrastructure of the marketing team by managing billing processes, administering platforms, and coordinating projects to ensure accuracy, efficiency, and alignment across all functions.

Job Responsibility:

  • Manage billing operations including invoice processing, tracking accounts payable/receivable, and resolving discrepancies
  • Maintain accurate, audit-ready financial and operational records
  • Administer and manage user access across systems including HubSpot and other platforms
  • Oversee onboarding/offboarding system access and license management
  • Monitor system usage, subscriptions, and cost optimization opportunities
  • Maintain documentation for system processes and procedures
  • Support project coordination including scheduling, tracking, and reporting
  • Maintain project documentation, meeting notes, and action items
  • Coordinate communication across internal teams, vendors, and stakeholders
  • Identify and escalate risks, blockers, and timeline concerns

Requirements:

  • Bachelor’s degree in Finance, Marketing, Business, or related field
  • 3–5 years of experience in systems administration, billing, or operational roles
  • Experience with CRM and workflow tools
  • HubSpot required
