In this essential support role, you will serve as the operational backbone of a fast-paced luxury beauty marketing team, supporting high-impact product launches and influencer mailer initiatives. You will manage critical administrative workflows, oversee logistics and inventory, and ensure seamless coordination across internal stakeholders and external vendors. This position offers hands-on exposure to luxury brand operations, cross-functional collaboration, and executive-level partnership, reporting directly to the VP with a dotted-line to the broader team.
Job Responsibility:
Own and maintain the team budget tracker, ensuring accurate reconciliation of expenses
Process purchase orders, invoices, and vendor documentation
Manage ongoing communication with internal finance teams and external vendors
Onboard new vendors as needed, ensuring compliance with L’Oréal systems and protocols
Create all product orders, manage shipment tracking, and communicate timelines to stakeholders
Oversee inventory for the team’s product closet supporting mailers, influencer seeding, and events
Ensure accurate documentation across logistics and fulfillment workflows
Create, organize, and maintain the team’s centralized digital storage hub
Track project timelines within internal dashboards and communicate updates across the team
Maintain and update internal L’Oréal reporting systems with the latest status, data, and milestones
Draft detailed vendor briefs for Prada Beauty product launches and campaign initiatives
Research, vet, and identify potential influencer talent for product mailers
Own reporting, recaps, and select strategy slides for executive-level presentations
Requirements:
Exceptional attention to detail with a passion for building organized, scalable systems
Strong administrative and operational skill set, with comfort working in PO, invoice, and order-management systems
Ability to manage multiple priorities and pivot quickly in a dynamic environment
Self-starter mindset with the ability to operate autonomously while supporting senior leadership
Excellent written and verbal communication skills with a collaborative, feedback-driven approach
Bachelor’s degree or equivalent professional experience
