The Marketing Events Specialist serves as an integral part of the marketing team supporting the implementation of IU events. While partnering with the professional education and product marketing teams, they will be responsible for event logistics and planning. In collaboration with key stakeholders including professional education, marketing, compliance, and sales, this position is responsible for planning and executing a wide range of events including but not limited to; in person, virtual, symposiums, surgical skills workshops/labs, dry labs, case observations, proctoring, and webinars.
Job Responsibility:
Work closely with the professional education team to develop, implement, and maintain education programs
Inventory management to include demo products for grants, educational events and society meetings, and onsite marketing storage
Support internal shipments and product returns from events, manages restocking and sending kits to our distribution center for event deployment
Manages event expenditure tracking and reporting
Creates and upkeeps monthly and quarterly event and attendee reports for analysis by management
Manages pre- and post-event logistics (e.g., booking laboratory, shipping and return processes for lab equipment, ordering specimens, etc.)
Manages overall communication with attendees and participants, including coordinating logistics for participation in the event and management of all aspects of registration (e.g. invitations, travel, and hotel accommodation)
Manages weekly communications to field partners as well as updates to internal resources site
Complete documentation for compliance, which may include among other things HCP invoice submissions and reconciliation,, HCP contract requests, HCP service requests, HCP event requests, validating HCP spend, vendor payments, and internal requirements

Requirements:
Bachelor’s degree preferred, or equivalent experience and secondary education
3+ years of experience in marketing or event planning
Experience working in a regulated environment, i.e., healthcare, medical device, or pharmaceutical preferred
Excellent project management skills and ability to work cross-functionally required
Requires exceptional written, verbal and interpersonal communication skills

Exceptional organizational skills
ability to prioritize and re-prioritize tasks to accommodate changing needs in a fast-paced environment, and solicit input from all contributors to joint projects

Experience working in a regulated environment, i.e., healthcare, medical device, or pharmaceutical preferred
Proficiency in Microsoft Office with advanced knowledge of PowerPoint and AdobePro
