We are looking for a proactive and detail-oriented Real Estate & Project Operations professional to support the development, fit-outs of multiple university campuses. Requires close coordination with landlords, architects, project managers, universities, local authorities and internal teams and is critical to ensuring smooth execution across leases, approvals, documentation and day-to-day requirements.
Job Responsibility:
Regulatory & Statutory Coordination: Support BMC and other local authority applications, approvals, renewals, and inspections
Coordinate with architects, consultants, and PMCs on statutory submissions and compliance documentation
Track approval timelines, follow up with authorities, and maintain records of statutory clearances and NOCs
Lease & Landlord Administration: Day-to-day coordination with landlords and property management teams
Support Leave & License Agreements (LLAs), amendments, renewals, and related documentation
Manage rent invoices, escalations, reconciliations, and coordination with finance for timely payments
Maintain lease trackers, compliance calendars, and documentation repositories
Project & Stakeholder Coordination: Act as a coordination bridge between architects, PMCs, universities, landlords, and internal stakeholders
Support project documentation, approvals, and information flow across multiple sites
Track action items, dependencies, and milestones to ensure smooth progress
University & Partner Coordination: Support engagement with university partners on infrastructure, space readiness, and compliance requirements
Coordinate site visits, inspections, walkthroughs, and documentation requests
Operations & Administration Support: Support vendor coordination, service providers and operational requirements across sites
Assist with audits, reporting, trackers
Ensure structured documentation, record-keeping, and communication across projects
Requirements:
6 - 8 years of experience in real estate operations, project coordination, facilities, or infrastructure roles
Experience with commercial / institutional real estate or large office environments
Prior exposure to working with landlords, architects, PMCs, and local authorities is essential
Understanding of real estate administration, project workflows, and documentation
Working knowledge of municipal processes and authority coordination
Project management mindset with strong follow-through and attention to detail
Comfortable managing multiple stakeholders and parallel workstreams
Tech-comfortable: trackers, documentation systems, basic project tools and structured reporting
Highly organised, proactive, and dependable
Able to work independently in a fast-paced, evolving environment
Strong communication and coordination skills
Comfortable handling ambiguity and ownership-driven roles
