Maintains accurate and timely employee data in HR systems and ensures all updates are completed in accordance with company standards and local requirements
Generates and reviews regular HR reports and dashboards to decision-making
Monitors data quality, follows up on discrepancies, and works with relevant stakeholders to ensure HR records are accurate, complete, and up to date
Supports HR reporting requirements for audits, headcount, attrition, and other people metrics while maintaining confidentiality of employee information
Partners with Talent Acquisition and hiring managers to support timely and effective recruitment
Supports compensation proposals for candidates in line with approved guidelines and communicates offers once approvals are obtained
Prepares offer documentation and coordinates onboarding to ensure a smooth and positive new hire experience
Ensures new hires are enrolled in benefit plans and communicates changes to the benefit plans in a timely manner
Coordinates payroll inputs and works closely with Payroll and C&B teams to ensure accurate and timely processing
Partners with Compensation & Benefits, Payroll, and other HR teams to deliver seamless and compliant HR support
Coordinates and facilitates new hire orientation to create a positive onboarding experience and ensure associates understand the company culture, policies, and available resources
Partners with managers to ensure effective departmental orientation and that associates receive the training needed to perform successfully in their roles
Coordinates learning participation, tracks training completion, and supports managers in identifying development needs where appropriate
Supports the continent initiatives like Associate Appreciation Week, TakeCare, ARGs and more
Maintains effective associate communication channels and supports local engagement initiatives
Provides guidance to associates and managers on company policies, code of conduct requirements, and fair treatment practices
Supports the timely resolution of associate concerns and employee relations matters using an open, fair, and consistent approach
Conducts exit interviews for voluntary separations, identifies trends, and shares relevant insights with management as appropriate
Supports recognition and engagement programs and recommends improvements to enhance associate participation and experience
Ensures associate files contain required paperwork (e.g., employment application, reference checks, Information Protection Agreement, job description), are properly maintained, and secured
Ensures terminated associate files are retained for the required length of time
Ensures compliance with procedure for accessing, reviewing, and auditing associate files and ensures compliance with the Privacy Act
Ensures medical records are maintained in a separate, secure, and confidential medical file
Supports the maintenance of the Human Resource Information System in accordance with Human Resources Standard Operating Procedures
Ensures proper documentation of all progressive disciplinary action is kept in associate file
Ensures performance evaluations and merit increase paperwork are maintained in associate files
May provide coordination support for local office administration and workplace matters, where applicable, to help maintain an efficient and positive work environment
Supports local workplace processes and coordination activities that enable an efficient, safe, and positive office environment
Maintains relevant administrative records and supports accurate reporting related to local workplace matters
Coordinates with relevant internal and external parties to help maintain a safe, functional, and professional office environment
Plans, organizes and coordinates special projects and office events when needed including associate activities
Conducts other ad hoc projects as assigned
Requirements
University degree in Human Resources management is preferred
At least 5–7 years of progressive human resources generalist or HR operations experience
Strong Interpersonal skills to resolve sensitive issues with associates
Strong Verbal and written communication skills
Proficiency in HR systems and Microsoft Office applications, with strong attention to detail and the ability to handle confidential information with discretion
