We are looking for a Management Assistant to join the cutting-edge teams at UCB’s HQ in Anderlecht. Key responsibilities include executive and operational support, strategic calendar management, travel and expense coordination, stakeholder communication, financial administration, project and crisis management, and event and logistics coordination.
Job Responsibility
Executive & Operational Support: Provided comprehensive administrative and strategic support to the Head of Transformation Impact and operational assistance to his direct report
Strategic Calendar Management: Managed a highly active calendar, proactively optimizing time allocation for maximum efficiency rather than simply scheduling appointments
Travel & Expense Coordination: Arranged complex international travel itineraries and agendas, prepared detailed meeting documents, and managed expense reports
Stakeholder Communication: Acted as a seamless liaison and bridge for communication between the executive office and internal/external stakeholders, maintaining strict confidentiality
Financial Administration: Assisted with budget preparation, managed the purchase order process, and oversaw the invoicing workflow
Project & Crisis Management: Prioritized conflicting needs and handled urgent matters proactively, ensuring successful project completion under tight deadlines
Event & Logistics Coordination: Organized internal and off-site meetings, managing all logistics including venue sourcing, catering, technical setup, video conferencing, and local transportation
Requirements
Over 5 years of experience handling high-pressure situations with diplomacy, strict confidentiality, and sound judgment
Exceptionally organized and independent worker, skilled at anticipating risks and resolving issues before they escalate
Proven ability to manage multiple projects simultaneously with high attention to detail and a focus on timely, quality output
Excellent communicator adept at building strong, trusted relationships with internal teams and external business partners
Proficient in MS Office (Word, Excel, PowerPoint), quick to adapt to new systems, with practical knowledge of budget preparation
