We are looking for a skilled Maintenance Coordinator to join our team in Toledo, Ohio. In this contract to hire role, you will play a key part in ensuring the smooth operation of property management and facilities services within our portfolio. This position requires strong organizational skills and the ability to manage multiple administrative and scheduling tasks effectively.
Job Responsibility:
Enter and monitor work orders from initiation to completion, ensuring timely updates and resolutions
Coordinate and schedule vendors for various property-related tasks, tracking progress through to completion
Arrange and oversee inspections for lighting, thermostats, and other property systems
Maintain clear and thorough communication with tenants and office employees regarding property updates
Manage utility data, including tracking, approval, and invoicing processes
Organize and maintain departmental spreadsheets and records to ensure accurate documentation
Schedule tenant walk-out appointments and oversee their execution
Track fire code compliance, inspection reports, and relevant organizational information
Negotiate and manage contracts for services such as lawn care, snow removal, sweeping, and trash disposal
Prepare precise documents and correspondence to support department needs
Requirements:
Proven experience in administrative coordination or property management roles
Strong proficiency in scheduling and calendar management
Ability to handle inbound calls and maintain effective communication with tenants and vendors
Familiarity with managing utility data and invoicing processes
Skilled in organizing and maintaining spreadsheets and records
Experience with contract negotiation and vendor management
Knowledge of fire code compliance and property inspection protocols
Exceptional attention to detail and the ability to multitask effectively
