We are looking for a Mailroom & Reception Administrative Coordinator to join a collaborative team in the heart of Vancouver. This is a vital business administration role where you will serve as the backbone of daily office operations for a global leader in the insurance industry.
Job Responsibility:
Managing all incoming and outgoing mail, including sorting, distribution, and coordinating with couriers
Serving as the primary backup for the reception desk, handling high-volume calls with professional phone etiquette and greeting visitors
Entering data and scanning documents into internal systems with high accuracy
Assisting the Facilities department with workstation setups, supply inventory management, and office organization projects
Responding to internal requests from various departments
Preparing correspondence and shipping equipment or documents
Supporting new initiatives and administrative projects as requested by the Facilities Manager
Ensuring the front office and mailroom areas remain organized, professional, and compliant with corporate standards
Requirements:
Minimum of 3 years of experience in a professional office or business administration environment
Mandatory: A successful criminal background check and a credit check with a minimum score of 690
Availability to work 100% on-site in Vancouver, Monday through Friday
Proven reliability and a strong work ethic
High school diploma or equivalent
Ability to start as early as February 18 or 19, 2026
Nice to have:
Post-secondary education in office administration is an asset
