We are looking for a proactive Mailroom Assistant to support a fast-paced entertainment agency. This contract position is designed for someone eager to build a strong administrative foundation while gaining exposure to office operations, guest services, mailroom coordination, and team support functions. The role offers hands-on experience across several front-office and operational tasks, making it an excellent opportunity for someone interested in growing within entertainment, media, brands, or sports. Bachelor's Degree and entertainment experience a must.
Job Responsibility:
Greet clients, visitors, and internal team members with a courteous and detail-focused approach
Answer incoming calls, direct inquiries to the appropriate contacts, and handle communications
Coordinate meeting logistics by reserving conference rooms and helping maintain organized scheduling
Assist with mailroom and messenger activities, including sorting, tracking, distributing, and preparing deliveries
Prepare and package priority gifts or materials, maintain accurate distribution records
Operate general office equipment such as copiers, binding machines, fax machines, and mailing tools
Help set up and reset conference rooms or event areas for meetings, presentations, and internal gatherings
Protect sensitive company, client, and employee information by consistently handling records with confidentiality
Build positive working relationships across departments
Requirements:
Bachelor's Degree
entertainment experience
strong interest in entertainment, media, brands, and/or sports
previous exposure to administrative support, office coordination, or customer-facing responsibilities
excellent customer service and interpersonal communication skills
ability to manage calendars, coordinate conference calls, and support travel arrangements
comfortable handling multiple priorities in a fast-moving environment
proficiency with standard office technology and administrative tasks
Nice to have:
Bachelor's degree from an accredited college or university is preferred
