Job Description:

We are looking for a dedicated Mail Services Associate to join our team in Westford, MA. In this role, you will oversee the daily operations of the mailroom, ensuring efficient handling and delivery of packages, mail, and office supplies. This is a long-term contract position that requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

Job Responsibility:

  • Verify the accuracy of delivered items by cross-referencing delivery invoices
  • Inspect incoming packages and approve or reject deliveries based on compliance and condition
  • Ensure same-day delivery for received items or coordinate with recipients for next-day arrivals
  • Safeguard all packages against potential damage during handling and shipping
  • Process outgoing shipments with vendors and communicate arrangements to package owners
  • Apply correct postage and identification on outgoing mail and parcels
  • Maintain and restock copy rooms, ensuring availability of office supplies and functioning equipment
  • Monitor and replenish mailroom supplies, including postage materials, on a daily basis
  • Respond to inquiries or complaints from clients, colleagues, or supervisors with careful attention to detail
  • Analyze data to resolve complex mailing or delivery issues and recommend process improvements

Requirements:

  • High school diploma or equivalent with 3-4 years of relevant experience
  • Proficiency in creating routine reports and detail-oriented correspondence
  • Strong understanding of mailroom operations, procedures, and systems
  • Ability to evaluate and address complex issues using logical and concise communication
  • Advanced knowledge of Microsoft Office applications including Word, Excel, and Outlook
  • Exceptional organizational skills and a proactive mindset
  • Experience in auditing deliveries and managing shipping functions
  • Strong communication skills to effectively interact with internal teams and external vendors
