We are seeking a highly organized and detail-oriented professional to join our team for a short-term project focused on document management and digitization. This role is ideal for someone who enjoys working independently in a dynamic environment and is comfortable handling physical and digital records. The Mail Clerk I (Document Storage Analyst) is responsible for the successful execution of document filing and digitization processes across two branch locations in Oakville. You will ensure that physical records are accurately prepared, scanned, and secured according to strict privacy and safety protocols. Job Responsibility:
Document Digitization: Prepare paper documents for scanning and operate high-volume hardware (Ricoh copiers/scanners) to create digital records
Quality Assurance: Review digitally filed documents to confirm accuracy and ensure they meet specific business requirements
Records Management: Manage physical files within the branch, ensuring they are secured in designated locations at all times
Reporting: Provide daily and weekly status updates to management teams via email or phone regarding project progress
Compliance & Safety: Adhere strictly to all Privacy Policies, Employee Conduct Rules, and Health and Safety regulations (including wearing a face mask in open branch areas)
Adaptability: Support a broad spectrum of initiatives where business priorities may shift, ensuring early identification of emerging risks or issues
Requirements:
High School Diploma or equivalent
Minimum of 2 years of professional working experience
Proficiency in MS Office (Outlook, Teams, Excel) and comfort operating office hardware (photocopiers/scanners)
Highly developed organizational skills, a positive attitude, and the ability to work independently with minimal supervision
Strong verbal and written communication skills for reporting and team coordination
Nice to have:
Prior experience in document filing or records management is considered a strong asset
