Loan Officer Assistant (Shared Resource)

Job Description

Support multiple top-performing loan officers as part of a shared LOA pool - own file building from application through handoff to processing, collect borrower documentation, and keep borrowers moving on pending items.

Job Responsibility

  • Open new loans in the loan origination system
  • ensure all required fields are populated accurately
  • Collect borrower documentation (entity docs, financials, asset statements, property information)
  • Request and follow up on signed loan applications
  • Order appraisals and any required inspections
  • Maintain a clean, organized loan file at all times - every condition documented and traceable
  • Serve as the borrower's primary point of contact for documentation requests and status updates
  • Respond to borrower inquiries within one business day
  • flag escalations to the assigned LO promptly
  • Manage the conditions list - follow up on outstanding items proactively, not reactively
  • Coordinate signing logistics, send wire instructions, and confirm receipt of closing documents
  • Work across multiple Loan Officers in the shared pool - typical assignment of 3-5 LOs at any time
  • Provide backup coverage when other LOAs in the pool are out or at capacity
  • Maintain shared inboxes and CRM updates per pod SOP
  • Participate in daily pipeline calls
  • Deliver a clean, condition-complete file to the assigned Processor for underwriting prep
  • Remain available to clarify file details during processing if needed
  • Request missing items from the borrowers/guarantors

Requirements

  • High school diploma or equivalent
  • 1+ year of mortgage, real estate, title, or lending operations experience
  • Strong written and verbal communication skills - professional borrower-facing presence
  • Detail-oriented with proven ability to manage 15-30 active files simultaneously
  • Comfort with loan origination systems, CRM tools, and standard office productivity software
  • Ability to work independently in a deadline-driven environment

Nice to have

  • 1+ years of experience in mortgage or real estate preferred
  • Exceptional written and verbal communication skills
  • Strong interpersonal skills, with the ability to work out complex problems
  • Experience using an advanced CRM as well as the Microsoft Office Suite
  • Able to work in a fast-paced environment and manage conflicting priorities
  • Able to work additional hours when needed and attend weekly meetings during business hours

  • Coordinate access questions involving Harvard-affiliated resources, remote authentication, shared platforms, proxy or sponsored-access arrangements where applicable, and interlibrary loan and document-delivery pathways
