We are looking for an experienced Litigation Secretary to join a respected law firm in Irvine, California, on a contract basis with the potential to become permanent. This position supports a fast-paced litigation practice and offers the chance to contribute within a collaborative, team-focused office. The ideal candidate brings strong civil litigation knowledge, excellent attention to detail, and the ability to keep multiple matters moving efficiently in a high-volume environment.
Job Responsibility
Oversee litigation calendars and track critical deadlines to help attorneys stay on schedule across numerous active matters
Prepare, revise, and finalize legal documents such as pleadings, motions, and related case materials with a high degree of accuracy
Submit court filings in compliance with applicable state and federal procedures, with an emphasis on California court requirements
Assemble litigation support documents, including tables of contents and tables of authorities, for court-ready submissions
Coordinate depositions, communicate with court personnel, and assist with scheduling activities tied to ongoing case work
Support attorneys managing a substantial caseload by organizing priorities, monitoring due dates, and maintaining orderly workflows
Maintain electronic records and document management systems while keeping client files current, accessible, and well organized
Requirements
At least 7 years of experience supporting civil litigation matters in a legal secretary or closely related capacity
Demonstrated ability to manage docketing and calendaring responsibilities in a litigation setting
experience with Practice Master is preferred
Working knowledge of court filing procedures for both state and federal matters, including California civil practice
Strong drafting and formatting skills for pleadings, motions, and other litigation documents
Proven ability to stay organized and productive while handling a high-volume workload with competing deadlines
Experience with document management platforms such as DocuWare is an advantage
Background in trial preparation and general litigation support is highly valued
