Job Description

We are looking for an experienced Litigation Secretary to join a respected law firm in Irvine, California, on a contract basis with the potential to become permanent. This position supports a fast-paced litigation practice and offers the chance to contribute within a collaborative, team-focused office. The ideal candidate brings strong civil litigation knowledge, excellent attention to detail, and the ability to keep multiple matters moving efficiently in a high-volume environment.

Job Responsibility

  • Oversee litigation calendars and track critical deadlines to help attorneys stay on schedule across numerous active matters
  • Prepare, revise, and finalize legal documents such as pleadings, motions, and related case materials with a high degree of accuracy
  • Submit court filings in compliance with applicable state and federal procedures, with an emphasis on California court requirements
  • Assemble litigation support documents, including tables of contents and tables of authorities, for court-ready submissions
  • Coordinate depositions, communicate with court personnel, and assist with scheduling activities tied to ongoing case work
  • Support attorneys managing a substantial caseload by organizing priorities, monitoring due dates, and maintaining orderly workflows
  • Maintain electronic records and document management systems while keeping client files current, accessible, and well organized

Requirements

  • At least 7 years of experience supporting civil litigation matters in a legal secretary or closely related capacity
  • Demonstrated ability to manage docketing and calendaring responsibilities in a litigation setting
  • experience with Practice Master is preferred
  • Working knowledge of court filing procedures for both state and federal matters, including California civil practice
  • Strong drafting and formatting skills for pleadings, motions, and other litigation documents
  • Proven ability to stay organized and productive while handling a high-volume workload with competing deadlines
  • Experience with document management platforms such as DocuWare is an advantage
  • Background in trial preparation and general litigation support is highly valued
