Job Description:

We are looking for a skilled Litigation Paralegal / Executive Assistant to provide comprehensive support to a managing partner in Boston, Massachusetts. This contract position requires someone with strong attention to detail, expertise in litigation processes, and exceptional organizational abilities. You will play a vital role in ensuring smooth operations and effective communication within the legal team.

Job Responsibility:

  • Manage and maintain the managing partner’s calendar by scheduling appointments, organizing court appearances, and ensuring thorough preparation for all engagements
  • Oversee incoming and outgoing correspondence, including emails, letters, invoices, and court filings, ensuring timely handling and prioritization
  • Coordinate travel arrangements by booking flights, accommodations, and transportation, ensuring all logistics are handled seamlessly
  • Prepare and distribute agendas for meetings, record minutes, and track follow-up actions to facilitate collaboration among team members
  • Maintain and organize confidential files and legal documents, ensuring accessibility and proper handling of sensitive information
  • Conduct research and provide administrative support to aid the managing partner in decision-making processes
  • Monitor and refine operating practices, implementing improvements as necessary to enhance efficiency
  • Apply knowledge of state and federal court procedures to support litigation processes effectively
  • Assist with budget management and financial tracking to support operational needs

Requirements:

  • Proven experience as a paralegal or executive assistant, preferably in a litigation-focused role
  • Strong knowledge of state and federal court procedures and related legal processes
  • Exceptional organizational skills, with the ability to manage calendars, schedules, and multiple priorities
  • Proficiency in handling confidential documents and sensitive information with discretion
  • Outstanding communication skills, both written and verbal, to ensure effective correspondence and collaboration
  • Familiarity with travel planning and coordination, including booking accommodations and transportation
  • Ability to conduct research and provide administrative support in a fast-paced environment
  • Proficiency in document review and management, ensuring accuracy and completeness
