Reputable law firm is seeking an experienced Litigation Legal Secretary to join their dynamic law firm in San Francisco, California. This role is pivotal in supporting the litigation team by ensuring seamless organization, communication, and the preparation of legal documents. The ideal candidate will thrive in a fast-paced environment, possess exceptional attention to detail, and have a comprehensive understanding of litigation procedures.
Job Responsibility:
Maintain and organize legal documents, ensuring both physical and electronic filing systems are up-to-date and accessible
Assist attorneys in drafting, revising, and finalizing various legal documents, including pleadings, motions, discovery responses, subpoenas, and correspondence
File court documents electronically through state and federal e-filing systems, guaranteeing accuracy and timeliness
Manage attorneys’ calendars by scheduling depositions, court appearances, trials, meetings, and client consultations
Prepare trial materials such as binders, exhibits, and other required documents to support litigation efforts
Coordinate with court personnel, opposing counsel, process servers, and clients for smooth communication and case management
Monitor litigation deadlines, ensuring attorneys are fully prepared for hearings, motions, and trials
Perform administrative tasks such as scanning, copying, mailing, and managing correspondence for attorneys
Support the team by tracking case progress and providing updates on critical deadlines and developments
Facilitate attorney-client communication to ensure timely updates and information exchange
Requirements:
At least 5 years of experience as a litigation legal secretary in a law firm setting
Strong knowledge of litigation procedures, including e-filing systems, discovery processes, and trial preparation
Proficiency in Microsoft Office Suite, Adobe Acrobat, and case management software such as NetDocs, Worldox, and ProLaw
Excellent organizational skills with the ability to multitask and meet deadlines in a high-pressure environment
Clear and effective written and verbal communication skills for collaboration and client interaction
Familiarity with federal and state court systems, as well as local court rules and procedures
Ability to work independently and as part of a team, demonstrating strong problem-solving capabilities
Detail-oriented approach to managing multiple priorities and deadlines efficiently
