We are seeking a Litigation Legal Secretary to join our boutique law firm located in Carlsbad. This on-site position is perfect for a highly organized and detail-oriented individual who thrives in a fast-paced legal environment. You will assist attorneys in civil litigation matters, including trial preparation, filing, calendaring, and administrative tasks. While HOA-specific experience is not required, a background in civil litigation is essential for success.
Job Responsibility:
Assist attorneys with preparing materials for trials, hearings, arbitrations, and depositions, including assembling trial binders, preparing exhibits, and organizing pre-trial logistics
Handle the preparation, formatting, and submission of legal documents, including both physical and e-filing in state and federal courts, ensuring compliance with court requirements
Manage and maintain attorney calendars by tracking hearings, deadlines, and court-related appointments
Draft, edit, and proofread correspondence, pleadings, motions, subpoenas, and other legal documents with utmost accuracy and professionalism
Serve as a point of contact between attorneys, clients, opposing counsel, and court personnel, facilitating effective communication and coordination
Maintain and organize case files (digital and physical), manage incoming calls, and handle clerical duties to ensure attorneys can focus on their caseloads
Conduct basic legal research and summarize findings for attorney review when requested
Work closely with attorneys and paralegals to ensure all litigation projects are completed efficiently and accurately, meeting tight deadlines
Requirements:
At least 2 years of experience as a Legal Secretary supporting attorneys in civil litigation matters
Proficient with e-filing systems, legal calendaring, and document management software
Strong knowledge of state and federal court procedures
Exceptional attention to detail and organizational skills
Excellent verbal and written communication skills for interaction with attorneys, clients, and court personnel
Capable of handling multiple tasks and deadlines in a dynamic legal environment
Comfortable working on-site in Carlsbad, as this is not a remote position
Nice to have:
Previous experience in HOA-related law is a plus, but not required
Proven ability to assist with trial preparation and manage large volumes of litigation documentation
