Job Description

We are partnering with a well‑established national law firm to hire an experienced Litigation Administrative Assistant to support Labor & Employment and Commercial Litigation attorneys in its Chicago office. This role provides high‑level support in a collaborative, professional environment and offers a hybrid schedule.

Job Responsibility

  • Prioritize and manage workload independently to meet competing deadlines
  • Prepare, edit, file, and manage litigation documents including pleadings, motions, discovery, subpoenas, and correspondence
  • Confidently e-file in state and federal courts
  • Open new matters, run conflicts checks, and assist with engagement letters
  • Manage attorney calendars, court deadlines, depositions, mediations, and trial logistics
  • Coordinate travel arrangements and prepare itineraries
  • Maintain client files (digital and hard copy) throughout the full lifecycle
  • Communicate professionally with courts, clients, opposing counsel, and internal teams
  • Process incoming and outgoing mail and emails
  • Utilize document management and workflow systems to manage work volume efficiently
  • Enter and release attorney time as needed and maintain billing numbers
  • Prepare and submit expense reports
  • Answer and screen phone calls with discretion
  • Handle additional administrative tasks as requested

Requirements

  • 10+ years of litigation experience
