We are partnering with a well‑established national law firm to hire an experienced Litigation Administrative Assistant to support Labor & Employment and Commercial Litigation attorneys in its Chicago office. This role provides high‑level support in a collaborative, professional environment and offers a hybrid schedule.
Job Responsibility:
Prioritize and manage workload independently to meet competing deadlines
Prepare, edit, file, and manage litigation documents including pleadings, motions, discovery, subpoenas, and correspondence
Confidently e-file in state and federal courts
Open new matters, run conflicts checks, and assist with engagement letters
Manage attorney calendars, court deadlines, depositions, mediations, and trial logistics
Coordinate travel arrangements and prepare itineraries
Maintain client files (digital and hard copy) throughout the full lifecycle
Communicate professionally with courts, clients, opposing counsel, and internal teams
Process incoming and outgoing mail and emails
Utilize document management and workflow systems to manage work volume efficiently
Enter and release attorney time as needed and maintain billing numbers
Prepare and submit expense reports
Answer and screen phone calls with discretion
Handle additional administrative tasks as requested
Requirements:
10+ years of litigation experience
strong knowledge of court procedures
exceptional attention to detail
ability to manage multiple matters and deadlines independently
