We are seeking a highly organized and experienced Lettings Property Manager to manage a diverse portfolio of residential properties. As a Lettings Property Manager, you will be responsible for ensuring the smooth running of day-to-day property management activities, including tenant relations, property maintenance, rent collection, and ensuring legal compliance. You will play a key role in ensuring that properties are maintained to the highest standards and that both landlords and tenants receive exceptional service.
Job Responsibility:
Manage a portfolio of residential properties, acting as the primary point of contact for both landlords and tenants
Coordinate property viewings, tenant inquiries, and the lease agreement process
Handle tenant issues and queries promptly and professionally, ensuring customer satisfaction
Ensure tenants' needs are addressed and resolved within the required timeframes
Organize property inspections, and ensure properties meet safety and regulatory standards
Coordinate and oversee routine and emergency maintenance and repairs
Work with contractors, suppliers, and maintenance teams to ensure properties are well-maintained and repaired quickly
Ensure that all property maintenance issues are resolved promptly and to a high standard
Maintain records of all maintenance and repair work completed, ensuring accurate reporting for landlords
Ensure all properties are compliant with relevant legislation, including health and safety, tenancy laws, gas safety certificates, electrical inspections, and fire safety
Prepare and manage tenancy agreements, renewals, and check-out procedures
Stay updated with changes in property law and regulations, ensuring compliance with all current requirements
Advise landlords on legal obligations related to tenant relations, maintenance, and tenancy agreements
Ensure timely collection of rent payments and chase any late payments, managing arrears effectively
Prepare and manage regular financial reports for landlords, including rent statements and expenses
Liaise with landlords regarding any financial matters, ensuring transparency and maintaining trust
Ensure that tenant deposits are correctly administered and returned as per tenancy terms
Act as a liaison between tenants and landlords, ensuring all parties are kept informed and updated on relevant matters
Address tenant complaints or concerns, ensuring they are handled professionally and efficiently
Provide excellent customer service and build strong, long-term relationships with both landlords and tenants
Keep landlords informed about property condition, legal changes, and any significant issues
Work with the lettings team to market available properties, ensuring they are advertised through appropriate channels
Advise landlords on market rental values and trends to ensure competitive and accurate pricing
Maintain accurate and up-to-date records of properties, tenants, maintenance requests, and financial transactions
Ensure that all documentation is compliant with legal and regulatory requirements, including tenancy agreements and renewals
Prepare and manage reports related to property inspections, rent payments, and maintenance.
Requirements:
Proven experience (at least 2-3 years) in property management, preferably within the lettings sector
Strong understanding of residential property management, lettings regulations, and landlord-tenant law
Excellent organizational skills and the ability to manage multiple tasks and priorities
Strong communication and interpersonal skills, with the ability to build and maintain relationships with landlords, tenants, and contractors
Ability to work independently and use initiative to resolve problems efficiently
Excellent attention to detail and strong administrative skills
Proficiency in property management software, CRM systems, and Microsoft Office Suite
A full, clean driving license may be required for site visits and property inspections.
Nice to have:
ARLA (Association of Residential Lettings Agents) qualification or equivalent is desirable.
