Job Description:

We are seeking an experienced and proactive Legal Secretary / Administrative Officer to provide comprehensive secretarial, administrative, and operational support within a busy legal practice setting. This is a high-impact role requiring a professional who can manage complex diaries, interface with key stakeholders, and ensure the smooth running of branch operations.

Job Responsibility:

  • Manage executive diaries, coordinate meetings, and arrange comprehensive regional travel, including vehicle bookings and accommodation
  • Prepare and format high-quality correspondence, court documents, agendas, minutes, and briefing materials
  • Assist with the preparation of and compliance with subpoenas, and maintain legal resource databases and case management systems
  • Act as the first point of contact for internal clients and external stakeholders, providing exceptional service in person and over the phone
  • Support the branch with HR, finance, budgeting, and IT-related administrative tasks
  • Identify opportunities to enhance work practices and assist in developing the branch’s suite of administrative procedures

Requirements:

  • Previous experience as a Legal Secretary or providing admin support in a legal/regulatory environment is highly regarded
  • Proven ability to manage competing priorities and complex travel logistics
  • Advanced skills in Microsoft Office Suite and experience with legal case management or record-keeping systems
  • High-level verbal and written communication skills with a strong eye for detail
  • A self-starter who can suggest improvements to systems and procedures
