Job Description:

The Legal Secretary will provide efficient and effective administrative services to fee earners such as Associates, Trainees and others as assigned.

Job Responsibility:

  • Produce and edit documents, including materials from Service Centers, ensuring accuracy
  • Handle incoming calls professionally and efficiently
  • Provide calendar management for attorneys and practice group meetings
  • Manage logistics for internal and external meetings
  • Manage emails and inbox of attorneys, ensuring timely responses
  • Support client requirements through direct contact with clients and their assistants
  • Build and maintain proactive relationships with other secretaries and teams
  • Manage documents and emails via iManage
  • Assist with standard administration duties such as printing, scanning, binding, and copying
  • Provide travel management support for attorneys and practice group members
  • Manage competing deadlines effectively and prioritize tasks
  • Assist team members as needed to meet deadlines
  • Support new secretarial staff by acting as buddy and mentor
  • Identify and address skill gaps within the team
  • Provide backup assistance to Partners and Counsels when necessary

Requirements:

  • A high school diploma or equivalent
  • a secretarial degree is preferred
  • A large amount of legal secretarial experience
  • work experience in a legal or professional services environment
  • A minimum of Intermediate knowledge of MS Word, Excel, and PowerPoint
  • Intermediate knowledge of office systems (i.e., Intapp Time, Intapp Open, etc.)
  • Able to complete fine hand manipulation (heavy typing, dialing, filing)
  • sitting/standing/walking/stooping
  • ability to lift to 25 lbs
  • Can work independently, prioritize work and meet deadlines
  • Knowledge of marketing resources and relevant materials
  • Excellent English verbal and written communication skills
  • Actively pursue opportunities for self-development/collaboration
  • Understand Firm structure and available resources
  • Look for ways to improve processes and/or procedures
  • Some analytical ability is required to find solutions to various administrative problems and prioritize workloads
