A respected law firm in Oakland is seeking a Legal Secretary to support their Personal Injury practice on an ongoing contract basis. The team consists of two managing attorneys and a collaborative support staff, offering a steady workflow and a hands‑on role for someone experienced in litigation support.
Job Responsibility:
Provide direct legal secretarial support to two managing attorneys within the Personal Injury practice
Handle state and federal e‑filings, ensuring accuracy and compliance with local rules
Manage litigation calendaring, including court deadlines, statutes, depositions, mediations, medical exams (IMEs), and hearings
Prepare, edit, and format legal documents including TOCs/TOAs, discovery responses, subpoenas, motions, and settlement demand packet exhibits
Assist with PI-specific tasks such as organizing medical records, tracking bills, updating case chronologies, and maintaining damages spreadsheets (if needed by the attorneys)
Coordinate with clients, medical providers, court personnel, and opposing counsel
Support case preparation for settlement negotiations, mediations, and trial preparation activities
Maintain organized case files (physical and electronic) and ensure timely follow-up on outstanding items
Provide general administrative and clerical support to help keep the PI team running smoothly
Requirements:
Civil litigation experience required
personal injury experience strongly preferred
Proficiency with e‑filing platforms and litigation calendaring tools
Experience preparing and formatting TOCs/TOAs and other complex litigation documents
Familiarity with common PI workflows (medical record organization, lien correspondence, settlement packet assembly) is a plus
Excellent organizational skills and meticulous attention to detail
Strong written and verbal communication skills
Prior law firm experience supporting attorneys in a busy litigation practice
