Our client, a plaintiff-side personal injury law firm located in Oakland, is seeking an experienced Legal Secretary to join their team on a contract-to-hire basis. This opportunity is best suited for someone with substantial, hands-on personal injury experience who is looking for a long-term role and the opportunity to grow with a collaborative and fast-paced plaintiff-side practice.
Job Responsibility:
Provide high-level administrative and litigation support to plaintiff personal injury attorneys
Draft, revise, proofread, and format legal correspondence, pleadings, discovery, and other litigation documents
Prepare and file documents in California state courts, including e-filing and service processing
Manage attorney calendars, court deadlines, statutes of limitations, hearings, depositions, and trial dates
Coordinate and track discovery, including Form Interrogatories, Special Interrogatories, Requests for Production, and Requests for Admission
Request, follow up on, organize, and maintain medical records, billing, and lien documentation
Manage case files throughout the full personal injury lifecycle—from pre-litigation through litigation, settlement, or trial
Assist with deposition and trial preparation, including scheduling, exhibit organization, and trial binders
Support settlement-related tasks, including drafting demand packages, tracking liens, preparing release documentation, and coordinating disbursements
Serve as a professional point of contact with clients, courts, experts, medical providers, and opposing counsel
Requirements:
Significant prior experience as a Legal Secretary in a plaintiff-side personal injury practice (plaintiff experience required)
Strong understanding of California civil litigation procedures as they apply to personal injury matters
Hands-on experience managing discovery, medical records, and PI-specific case documentation
Familiarity with personal injury timelines, treatment tracking, liens, and settlement processes
Ability to manage a high-volume caseload in a fast-paced, deadline-driven environment
Exceptional organizational skills and attention to detail
Professional, client-facing written and verbal communication skills
Proficiency with Microsoft Office and legal case management systems
Proven interest in long-term stability and building a lasting role within a firm
