Job Description

Robert Half is seeking a highly detail-oriented Legal Clerk / Paralegal to support a busy litigation team with a strict focus on calendaring and deadline management for complex, multi-party asbestos litigation. This role is critical to ensuring accurate tracking of court dates, depositions, mediations, and attorney appearances across multiple jurisdictions and states.

Job Responsibility

  • Maintain and manage a high-volume asbestos litigation calendar, including depositions, mediations, hearings, and attorney appearances across numerous cases and jurisdictions
  • Track and consolidate dates and deadlines from multiple sources, including court calendars and internal systems
  • Ensure accurate, timely creation and distribution of Outlook calendar invitations to attorneys and team members
  • Monitor and cross-check court calendars and internal calendars to confirm accuracy and updates
  • Provide consistent follow-up to ensure deadlines and appearances are properly scheduled and communicated
  • Once fully trained and calendaring responsibilities are well established, assist with light paralegal support as needed by the litigation teams

Requirements

  • Strong experience managing calendars and deadlines in a legal or litigation environment
  • Advanced proficiency in Microsoft Outlook and Excel
  • Demonstrated ability to manage hundreds of cases simultaneously with a high level of accuracy
  • Experience supporting multiple attorneys across different locations and jurisdictions
  • Prior paralegal experience is a plus, but not required
  • Exceptional attention to detail, organization, and follow-through

  • Coordinate, prepare, and schedule 9 annual Board of Directors and shareholder meetings, ensuring all materials are compiled and distributed seamlessly
  • Collaborate with the legal team to draft governance documents, including minutes, resolutions, and meeting agendas
  • Manage and administer the digital Board portal platform to maintain seamless communication
  • Ensure accurate and timely completion of all federal and provincial regulatory filings (including OSFI, FCAC, AMF, TSX, SEDI, and IIROC)
  • Own and maintain the Regulatory Compliance Management (RCM) system calendar, tracking critical quarterly/annual update deadlines to keep the legal team proactive
  • Maintain external data rooms to ensure contracts, policies, and minutes are accessible for external review and due diligence
  • Maintain official minute books for all corporate entities and manage a repository of corporate policies with strict version control
  • Facilitate responses to internal and external audit requests by gathering necessary supporting documentation
  • Support vendor management for legal suppliers, coordinate related payments, and draft new lender onboarding materials (NDAs, master policies) in collaboration with the sales team
  • Review simple contracts and flag out-of-the-ordinary clauses for senior counsel as your role expands
