Job Description

Our company is seeking a detail-oriented Legal Claims Assistant to support the in-house legal department in managing claims from intake through resolution. This role is responsible for maintaining claim files, coordinating documentation, tracking deadlines, communicating with internal stakeholders and outside parties, and assisting legal professionals with day-to-day claims administration.

Job Responsibility

  • Open, organize, and maintain legal claims files and related records
  • Review incoming claims, correspondence, and supporting documentation for completeness
  • Track claim status, litigation deadlines, response dates, and reporting requirements
  • Coordinate with internal departments, insurers, third-party administrators, outside counsel, and claimants
  • Prepare routine correspondence, reports, summaries, and claim-related documentation
  • Assist with investigations by gathering records, contracts, incident reports, and other materials
  • Monitor invoices, legal spend, and vendor documentation related to claims matters
  • Maintain data accuracy in claims management systems, spreadsheets, and internal databases
  • Support compliance with internal policies, legal procedures, and records retention requirements
  • Assist attorneys and legal staff with administrative tasks related to claims handling and dispute resolution

Requirements

  • 2+ years of experience in claims administration, legal support, insurance defense, risk management, or a related field
  • Experience supporting an in-house legal department, insurance carrier, law firm, or claims team preferred
  • Strong organizational skills and the ability to manage multiple matters simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Experience with claims management, document management, or legal matter management systems preferred
  • Ability to handle confidential and sensitive information with discretion

  • Ensure all three elements of the patent application is correct (such as claims set). Filing daily!
  • Creating shells for attorneys (such as for office action responses)
  • Docketing – this person will do backup calendaring for attorneys in Outlook or Excel (and reminding them of deadlines)
  • Searching IP databases (such as the USPTO, TEAS, TARR, WIPO, and foreign patent offices – like Japan, Australia, Canada, and the EU)
