Job Description

We are looking for a Legal Assistant to support a busy legal team by keeping case materials organized, deadlines on track, and filings properly maintained. This position plays an important role in day-to-day litigation support, working closely with attorneys and paralegals across federal, state, and arbitration matters. The role is based in Houston, Texas, and requires strong attention to detail, sound judgment, and the ability to manage multiple priorities in a deadline-driven environment.

Job Responsibility

  • Provide day-to-day administrative support to attorneys and paralegals to help matters progress efficiently
  • Organize, scan, save, and maintain legal records, court filings, and case documents across multiple matters
  • Monitor federal, state, and arbitration filings, record key activity, and calendar deadlines by reviewing applicable court rules, local rules, and judicial procedures
  • Keep case information current in Litify, including matter details, important dates, parties, and court or judge assignments
  • Assist with the preparation and filing of new complaints, coordinate service of process, and follow up with process servers as needed
  • Prepare and submit pro hac vice applications, notices of appearance, and notices of consent, including obtaining certificates of good standing when required
  • Support discovery activities by organizing productions, assisting with redactions and Bates labeling, gathering client information for declarations, and tracking response-related deadlines
  • Coordinate deposition and mediation logistics, including scheduling, maintaining calendars, arranging vendors, preserving transcripts, and tracking follow-up deadlines such as errata
  • Assist with trial preparation and large-volume mailings by organizing binders and exhibits, preparing outgoing correspondence, and handling settlement check distribution and notice mailouts

Requirements

  • Experience supporting civil litigation matters in a legal assistant or similar legal support capacity
  • Working knowledge of court filing procedures, including electronic filing in court systems
  • Ability to manage calendars and calculate deadlines accurately using court rules and judge-specific practices
  • Strong organizational skills with the ability to maintain detailed records and handle multiple active matters at once
  • Proficiency in document handling tasks such as scanning, indexing, redaction, and spreadsheet data entry
  • Comfortable working with case management systems and standard office software, including Excel
  • Clear written and verbal communication skills for coordinating with attorneys, paralegals, clients, courts, and outside vendors
