We are looking for a detail-oriented Legal Assistant to support file management and records organization for a legal team in Baltimore, Maryland. This long-term contract position is ideal for someone who works carefully with physical and electronic documents, maintains orderly systems, and communicates effectively through email and other administrative channels. The role focuses on preserving accurate legal records, keeping materials properly labeled and stored, and ensuring files are easy to retrieve when needed.
Job Responsibility
Maintain legal records by sorting, organizing, and storing paper and digital files in a structured manner
Prepare documents for archiving by labeling, packaging, and arranging materials according to retention guidelines
Manage filing activities to ensure records are placed accurately and can be accessed efficiently when requested
Support record retention practices by reviewing files and helping keep documentation in compliance with established procedures
Handle email correspondence related to file requests, document tracking, and administrative follow-up
Monitor file organization systems and identify opportunities to improve order, accuracy, and accessibility of materials
Assist with paper-based records management, including indexing, categorizing, and preserving important legal documents.
Requirements
Previous experience supporting legal or administrative file management activities
Strong ability to organize large volumes of documents with a high level of accuracy
Familiarity with archiving, record retention, and paper filing procedures
Experience labeling, packaging, and preparing files for storage or retrieval
Comfortable using email for routine communication and coordination
Excellent organizational skills with the ability to manage multiple priorities effectively
Ability to handle confidential records with professionalism and discretion.
