We are looking for a highly skilled Legal Assistant to join our team in San Jose, California. This role involves providing vital administrative support to attorneys and paralegals, primarily within the Intellectual Property litigation practice group. The ideal candidate will possess extensive litigation experience, particularly in Federal Court, and excel in managing case deadlines, preparing legal documents, and maintaining organized workflows. Job Responsibility:
Maintain and organize client and administrative files, ensuring timely opening and closing of matters in compliance with firm policies
Prepare, format, proofread, and edit litigation documents, including administrative correspondence and court filings
Schedule and monitor court appearances, depositions, and discovery deadlines, ensuring all associated dates are accurately recorded in attorney calendars
Coordinate the preparation of exhibits, evidence, briefs, and trial binders for hearings, trials, and meetings
Manage incoming mail by scanning, filing, and calendaring important dates, while determining appropriate next steps
Provide administrative support such as arranging attorney travel, booking accommodations, and organizing development events
Oversee document profiling and management in compliance with practice group guidelines throughout the course of engagements
Assist attorneys with timekeeping, invoice processing, and monitoring receivables
Coordinate with court reporters and handle scheduling for hearings and depositions
Greet and assist clients and visitors, manage conference room reservations, and ensure technical needs are met
Requirements:
Minimum of 7 years of litigation experience, with significant exposure to Federal Court processes
Proficiency in document management systems such as ProLaw and NetDocuments
Strong knowledge of legal terminology, formatting, and court rules, particularly in Intellectual Property litigation
Exceptional organizational and calendaring skills to manage multiple case deadlines effectively
Demonstrated expertise in proofreading, redlining, and preparing legal forms and trial exhibits
Ability to work independently, take initiative, and manage tasks with minimal supervision
Excellent communication and client service skills to interact professionally with clients and team members
Familiarity with electronic filing systems and software tools for efficient document processing
