We are looking for a detail-oriented Legal Assistant to support a litigation team handling substantial plaintiff personal injury and medical malpractice matters in Philadelphia, Pennsylvania. This contract opportunity with potential for a permanent position is ideal for someone who is comfortable managing case-related administrative work, maintaining consistent communication, and helping attorneys keep matters organized and moving forward. The role offers close collaboration with legal staff, including coordination with a litigation paralegal on overlapping tasks, while using tools such as NEOS and Microsoft Office to support daily operations.
Job Responsibility
Organize attorney calendars and arrange meetings, depositions, and other case-related appointments to keep deadlines and schedules on track
Prepare, submit, and track court filings, including electronic filings, while ensuring documents meet procedural and formatting requirements
Request, obtain, and manage medical, legal, and other case records needed to support active matters
Communicate with clients to provide updates, gather information, and ensure timely follow-up on outstanding items
Coordinate with expert witnesses and outside parties to support scheduling, documentation, and case preparation needs
Maintain accurate case information and supporting documentation within case management systems, including NEOS
Partner with attorneys and the litigation paralegal on shared tasks that support case progression before and during litigation
Create, revise, and format correspondence, legal documents, and internal materials using Microsoft Office applications
Requirements
At least 2 years of experience in a Legal Assistant role supporting civil litigation or personal injury matters
Hands-on experience with court filings and electronic filing procedures
Strong calendar management skills with the ability to coordinate multiple schedules and deadlines
Familiarity with client communication, record collection, and deposition scheduling in a legal environment
Working knowledge of case management software such as NEOS and proficiency with Microsoft Office
Ability to manage detailed case support work for complex matters rather than high-volume administrative processing
Strong organizational skills, attention to detail, and the ability to follow through on time-sensitive tasks
