Robert Half is looking for a dedicated and detail-oriented Legal Assistant to join a reputable law firm in Chicago, Illinois. In this role, you will provide essential administrative and legal support to a team of attorneys specializing in commercial litigation. This position requires a proactive individual who can effectively manage multiple tasks, maintain confidentiality, and contribute to the success of the firm's legal operations.
Job Responsibility:
Provide administrative and executive support to a team of attorneys, ensuring seamless workflow in a fast-paced litigation environment
Prepare and file legal documents such as complaints, discovery, motions, subpoenas, and affidavits, ensuring accuracy and compliance with court requirements
Handle electronic filing for Federal and Circuit Courts, including coordination with local county clerks
Arrange for process servers and court reporters as needed to support litigation processes
Transcribe dictations and draft legal briefs, correspondence, and other documents with precision
Organize and maintain legal files, ensuring all case materials are easily accessible and up-to-date
Assist in onboarding new matters by preparing client engagement letters and related documentation
Manage attorneys’ schedules, court deadlines, and appointments using Microsoft Outlook
Provide additional administrative support, including reception coverage, as necessary to ensure smooth office operations
Requirements:
A minimum of 5 years of experience as a legal assistant or secretary, preferably in commercial litigation
Proficiency in electronic filing systems, including experience with Federal and Circuit Courts, and familiarity with county clerk websites
Strong knowledge of court procedures, legal documentation, and trial preparation, including citing case law and researching court rules
Advanced skills in Microsoft Office Suite, including Excel and PowerPoint, as well as legal billing systems and document management tools like NetDocuments
Exceptional written and verbal communication skills, with a strong command of English and excellent proofreading abilities
Demonstrated ability to manage multiple priorities, meet tight deadlines, and work collaboratively with attorneys and clients
High level of professionalism, discretion, and attention to detail, with a positive and proactive approach to problem-solving
Familiarity with videoconferencing tools such as Zoom and Microsoft Teams, as well as office equipment like scanners and copiers
