We are looking for a Legal Assistant to support employment-based immigration matters for a legal team in San Jose, California. This Long-term Contract position is well suited for someone who is organized, detail-focused, and comfortable managing a high volume of case-related documentation and communication. The role involves coordinating with foreign nationals, assisting attorneys with case preparation, and ensuring records are maintained accurately throughout the application process.
Job Responsibility
Prepare and assemble immigration case materials and supporting documents for filing based on case requirements and deadlines
Communicate with foreign nationals to collect information, provide case updates, and resolve routine questions in a timely manner
Support attorneys by organizing case details, tracking progress, and helping maintain readiness for submissions
Enter and update case information in tracking systems with a high degree of accuracy and consistency
Maintain electronic and physical files so documents are complete, accessible, and properly categorized
Handle a range of administrative duties such as scheduling, document processing, and general case support
Monitor filing timelines and follow up on missing items to help keep matters moving efficiently.
Requirements
Experience preparing, organizing, or filing legal or immigration-related documentation
Ability to manage detailed data entry tasks with strong accuracy and attention to deadlines
Comfortable communicating professionally with clients, attorneys, and internal stakeholders
Strong organizational skills with the ability to maintain orderly case files and records
Capable of balancing multiple administrative and case support tasks in a fast-paced environment
Proficiency with standard office software and digital document management tools
Familiarity with filing processes and document handling best practices.
