Job Description
Our client, a leading independent law firm in Quebec with a vast international network, is seeking a Legal Assistant specializing in commercial/transactional law. In this role, you will provide valuable support to a team of lawyers in managing their practice and fulfilling mandates, both legally and administratively. You will work in a collaborative environment within a friendly and inclusive team led by a renowned partner with over 30 years of experience. This is an on-site position.
Job Responsibility
Organize workload and execution by implementing monitoring measures
Prepare legal documents, including formatting/layout of various documents and any related changes
Prepare documents related to invoicing, time entries, and follow up on accounts receivable
Prepare confidential letters and memos
Draft mandate letters
Act as a liaison between the professional and a variety of individuals, groups, and internal and external clients at all levels
Handle routine correspondence and ensure all follow-ups
Manage calendars, meetings, and conferences
Create, monitor, and maintain client files to ensure proper file management and excellent customer service
Perform administrative tasks (accounting, conflict resolution, opening and closing files, time entries, invoicing, accounts receivable follow-up, and expense report preparation)
Demonstrate initiative and sound judgment to streamline administrative tasks of the professional
Perform all other related tasks or responsibilities
Requirements
College diploma (DEC) in legal secretarial studies
Minimum 5 years of experience as a legal assistant in business/transactional commercial law
Bilingualism (fluency in French and English), both spoken and written
Excellent command of grammar (in both French and English)
Proficiency in Microsoft 365 (specifically Word formatting and styles)
Strong organizational and time management skills
Autonomous and proactive
Ability to work independently and collaboratively within a team
Ability to handle tasks for multiple people simultaneously
Ability to meet deadlines and work under pressure
Adaptable, open to change, positive, and flexible
Available, reliable, and diligent
Rigorous, detail-oriented, ethical, and maintains confidentiality
