We are looking for a Legal Administrator to support estate planning and probate matters for a Contract position based in Boston, Massachusetts. This role focuses on preparing legal documentation, coordinating client interactions, and keeping case activity organized from intake through filing. The ideal candidate is comfortable managing deadlines, maintaining accurate records, and providing dependable administrative support in a legal environment.
Job Responsibility
Draft, revise, and assemble estate planning materials such as wills, trusts, and powers of attorney for attorney review and finalization
Assist with probate and trust administration filings by preparing documentation, submitting materials electronically or with the court, and monitoring key due dates
Serve as a point of contact for clients by scheduling meetings, gathering required information, and communicating next steps clearly and effectively
Organize and maintain matter files, legal records, and supporting asset documentation to ensure information is current and easily accessible
Manage calendars for appointments, filing deadlines, and case-related milestones to help keep legal matters on track
Provide administrative support through correspondence preparation, document handling, and routine office coordination related to active legal matters
Support billing activities by helping prepare invoices, tracking time-related information, and maintaining accurate administrative records
Use case management software to update matter status, store documentation, and track progress across multiple files
Requirements
Prior experience in a legal administrative, legal assistant, or similar law office support role
Working knowledge of estate planning documents, probate processes, or trust administration procedures
Experience maintaining legal files and handling document organization with a high level of accuracy
Familiarity with e-filing, court filing procedures, and deadline-sensitive legal submissions
Proficiency with case management software and standard office technology tools
Strong calendar management skills with the ability to prioritize multiple deadlines and appointments
Excellent written and verbal communication skills for interacting with clients, attorneys, and external parties
