We are looking for an experienced Legal Administrative Assistant to join a busy legal team in South Florida in a contract-to-permanent capacity. This position supports five attorneys with a strong emphasis on coordinating calendars, managing appointments, and keeping daily schedules organized in a fast-paced office environment. The role also provides occasional front desk and general office coverage, making it ideal for an administrative specialist who is comfortable balancing multiple priorities while maintaining a high level of discretion.
Job Responsibility:
Coordinate complex calendars for five attorneys, including meetings, appointments, court-related scheduling, and other time-sensitive commitments
Arrange and confirm appointments, depositions, and internal or external meetings while helping prevent conflicts and last-minute disruptions
Communicate with attorneys, clients, and other contacts in a clear and organized manner regarding scheduling updates and logistical details
Provide backup support at the reception desk by answering inbound calls, greeting visitors, and directing inquiries appropriately
Assist with general administrative office tasks to help maintain smooth day-to-day operations when additional support is needed
Monitor scheduling changes and adjust calendars promptly to ensure attorneys remain informed and prepared
Maintain organized records of appointments, correspondence, and related administrative details for accurate follow-up
Support office coverage needs as a backup to reception and office assistant functions during absences or high-volume periods
Requirements:
At least 3 years of experience in an administrative support role, preferably within a legal or services environment
Demonstrated success managing schedules and calendars for multiple team members in a fast-paced setting
Experience coordinating appointments, meetings, and depositions with strong attention to detail
Ability to answer inbound calls effectively and interact with attorneys, clients, and office staff
Strong administrative office skills, including organization, prioritization, and follow-through on time-sensitive tasks
Comfortable providing backup reception and general office support as business needs require
Excellent written and verbal communication skills with a clear and courteous demeanor
