We are looking for a dedicated and detail-oriented Legal Administrative Assistant to join our client's team in McMinnville, Oregon. This is a long-term contract position that requires expertise in providing administrative and clerical support to legal professionals. The ideal candidate will play a vital role in managing legal documents, coordinating processes, and ensuring smooth operations within a legal environment.
Job Responsibility:
Organize and maintain legal files, including opening, closing, and tracking pending cases
Review contracts, county codes, court claims, and land-use documents, coordinating findings and preparing comprehensive packets
Conduct legal research on land-use topics and assist in drafting motions, misconduct filings, and other legal templates
Manage calendars and schedule hearings, mediations, and deadlines to ensure timely legal proceedings
Prepare and process invoices from external counsel while maintaining accurate financial records
Handle e-filing tasks efficiently and ensure compliance with legal filing requirements
Provide support during mediations and hearings, assisting with preparation and documentation
Coordinate inspections and property reviews, ensuring proper documentation and follow-up
Assist with procurement processes for public entities and manage related contracts
Requirements:
Proven experience in e-filing and managing court filings
Strong organizational skills for effective calendar management and scheduling
Ability to draft and prepare legal documents with accuracy and attention to detail
Familiarity with land-use regulations and legal research methodologies
Proficient in handling dictation and transcription tasks
Licensed notary preferred but not required
Excellent communication skills to work effectively with legal professionals and external stakeholders
Competence in managing financial invoices and coordinating with external counsel
