Job Description

Established law firm in Redwood City, CA has an immediate opening for a Legal Administrative Assistant to support a busy office. This Legal Administrative Assistant position is ideal for someone who brings strong organizational skills, office experience with strong attention to detail, and the confidence to take initiative in a fully on-site environment. The Legal Administrative Assistant will support daily administrative and legal support functions, with an emphasis on communication, scheduling, document preparation, and docket coordination.

Job Responsibility

  • Assisting attorneys, paralegals and office manager with a variety of tasks
  • Downloading and imaging of correspondence and court pleadings and storing them electronically in the firm’s document management system
  • Physical file creation and maintenance, including filing and organizing documents
  • Indexing pleading files, discovery files, and physical and electronic mail
  • Retrieval of electronic and physical files upon request
  • Responsible for backing up receptionist and office services
  • Answering phones and delivering messages to appropriate people
  • Entering check requests and expense reports in Chrome River
  • Entering attorneys’ timesheets in Workspace Time Entry
  • Receiving, entering and delivering mail and packages
  • Assisting with catering requests and travel as needed for meetings and trials
  • Maintaining and stocking the lunchroom and copy rooms
  • Handling scanning and copy jobs

Requirements

  • Minimum of 1 year of law office experience
  • Excellent communication skills, attention to detail and the ability to work on multiple concurrent projects
  • Computer savvy, familiar MS Office, basic document processing, Adobe, ECF/PACER, Records management programs (i.e., Legal Key, RM Admin Tool, Bartender), Excel would be a plus
  • Detail oriented and have good word-processing skills
  • Reliable, proactive, flexible and self-motivated
