We are looking for a Lease Administrator to support the financial and operational oversight of a commercial real estate portfolio in Dallas, Texas. This position focuses on maintaining accurate lease information, coordinating payment-related activities, and helping ensure each account is managed in line with lease terms and reporting needs. The ideal candidate brings strong analytical ability, comfort working with detailed agreements, and a consistent approach to handling deadlines in a high-volume environment.
Job Responsibility
Review lease agreements, amendments, and related legal documents to capture key terms and enter complete, reliable data into standardized records
Track important lease milestones such as renewal opportunities, expiration timelines, rent changes, and notice periods to support timely action across the portfolio
Serve as a primary point of coordination between clients and landlords by addressing questions, following up on outstanding items, and maintaining clear communication
Examine recurring rent, tax, insurance, and other occupancy charges for accuracy, then work with landlords and internal teams to resolve billing discrepancies
Assist with year-end reconciliations and account reviews by researching variances, identifying potential cost savings, and supporting audit-related requests
Maintain well-organized digital files for executed leases, correspondence, financial support documents, and other portfolio records
Produce scheduled and on-demand reports covering lease status, occupancy expenses, and portfolio performance metrics for client and internal use
Collaborate with finance, legal, real estate, and operations partners to resolve lease issues and contribute to broader business initiatives
Support special assignments such as reporting projects, data analysis, mapping requests, and document-based administrative tasks as needed
Requirements
Experience in lease administration, lease accounting, accounts payable, or a related real estate support function
Working knowledge of commercial lease language and the ability to interpret contractual terms with accuracy
Proficiency in Microsoft Office and Adobe tools, including strong Excel skills for tracking, analysis, and reporting
Ability to process invoices, review coding, support payment cycles, and research exceptions such as short pays, overpayments, and unapplied cash
Strong attention to detail with the organizational skills needed to manage a high volume of records and deadlines
Clear written and verbal communication skills for effective coordination with landlords, clients, and internal stakeholders
Nice to have
Experience supporting rent validation and prior year reconciliation activities is preferred
Familiarity with lease administration platforms such as ProLease, CoStar, or similar systems, along with exposure to ASC 842 concepts, is preferred
