Job Description

As a Junior Wellbeing Manager (all genders), you will be a key member of the Wellbeing team. Our Wellbeing Team goes beyond providing services; we also orchestrate workplace adjustments and deliver our longterm wellbeing strategy, while promoting and improving wellbeing at work, such as various health promotion offers, psychosocial support, a workplace wellbeing platform, sickness absence coaching and support with different life stages, including becoming a parent. In this role, you will provide essential operational and administrative support for our key wellbeing initiatives, including psychosocial risk assessments, BEM (sickness absence management), and health promotion. You will collaborate closely with internal stakeholders, such as P&O Business Partners and Works Councils, to ensure the smooth execution of these processes and support the delivery of our longterm wellbeing strategy. You will report to the Senior Lead Wellbeing and work closely with different cross-functional stakeholders.

Job Responsibility

  • Serve as the first point of contact for external BEM administrators
  • liaise with Post Office and P&O partners
  • maintain the shared BEM chat space
  • manage user access for case managers
  • and support the integration of new entities
  • Troubleshoot BEM data inconsistencies (e.g., eligibility status, absence data, contact details) and lead the implementation of process changes, including updating documents and communication flows
  • Administer the BEM dashboard, grant stakeholder access, provide data for ASA meetings, and prepare quarterly KPI reports for PSLT
  • Monitor and validate invoices against contract volumes for BEM and corporate health providers (e.g., EAP)
  • track budgets
  • and create yearly Purchase Orders
  • Manage end-to-end administration for Corporate Health Assessments (surveys, workshops, stakeholder alignment) and coordinate health check-ups and consultations
  • Maintain health-related knowledge articles and manage wellbeing tickets via Compass, ensuring accurate and timely communication for all wellbeing topics
  • Foster engagement and support wellbeing initiatives across the organisation by managing internal wellbeing communities and channels
  • Stay up-to-date with the latest research and trends in psychosocial risk management and wellbeing

Requirements

  • Experience in HR, Health Management, or a related field
  • Proven experience in administrative support, project coordination, or case management
  • Strong analytical mindset with the ability to manage data, spot inconsistencies, and report KPIs accurately
  • Familiarity with or a strong interest in Corporate Health Management standards and German occupational health regulations
  • Exceptional organisational skills and a meticulous approach to data and process management
  • Ability to communicate effectively with diverse stakeholders, including employees, P&O Business Partners, and external health providers
  • High level of accountability, discretion, and ability to handle sensitive/confidential employee information
  • Proactive, independent worker who thrives in a collaborative, cross-functional team
  • Fluent in English (written and spoken)
  • proficiency in German is highly preferred given the focus on German-specific labor processes (BEM/ASA)
