We are seeking a proactive Junior HR Operations Coordinator to support our HR Operations function in Barcelona. This role is ideal for someone looking to make an impact and who has hands-on experience across benefits, administration, HR analytics, employee support, and global People Operations projects within a fast-paced international environment. As we grow, we are evolving our People Operations team to become more data-driven, automated, and AI-enabled. In this context, you will be a key contributor at our HQ, helping us optimize administrative workflows and strengthen collaboration with other departments. By taking ownership of certain operational tasks, you will enable the wider team to focus on high-impact initiatives and the implementation of AI-driven HR Ops transformation. This role requires a high level of maturity, strong organizational skills, and the ability to handle confidential information with complete discretion.
Job Responsibility:
Employee Lifecycle Operations: Support the end-to-end employee lifecycle by coordinating onboarding and offboarding processes, ensuring all logistics and documentation are handled smoothly and that employees have a seamless experience throughout their journey at the company
HR Administration & Data Management: Maintain accurate and up-to-date HR records by managing HR systems and digital employee files. Track and update lifecycle events such as new hires, role changes, terminations, absences, vacations, and leave requests to ensure data accuracy and operational efficiency
Employee Support: Serve as the primary HR point of contact for the Barcelona office, assisting employees with HR operations topics including compensation, benefits, company policies, and day-to-day HR inquiries
Compensation & Benefits: Support the administration of employee benefits, including enrollments, documentation, and ongoing coordination. Monitor engagement metrics such as participation, utilization, and employee feedback to help improve benefits programs
R&D Project Support: Assist with administrative coordination for R&D projects by collecting required documentation, organizing records, and supporting related operational processes
HR Compliance & Training: Help ensure compliance with internal HR policies and local regulations by monitoring processes such as health and safety training, time tracking, and required HR documentation
Payroll Coordination: Collaborate with relevant teams by providing accurate and validated employee data to support timely and precise payroll processing
Process Improvement & Automation: Identify opportunities to improve HR workflows and operational efficiency. Support initiatives aimed at automating repetitive HR tasks using HR tools and AI solutions
Cross-Functional Collaboration: Work closely with Global Mobility, IT, Finance, HR, and Workplace teams to support HR operations processes and contribute to cross-functional initiatives
Requirements:
Degree in Human Resources, Psychology, Business Administration, or a related field
1-3 years of experience in HR Operations, HR administration, or a similar role
Familiar of Spanish labor law, HR compliance, and payroll-related processes
Comfortable working with highly confidential information (contracts, personal data) and understanding the importance of privacy in an HR environment
Tech-savvy, with interest in modern project management tools, HRIS systems such as HiBob, and AI-driven workflows
Ability to identify opportunities for process improvement and operational efficiency
Sense of ownership and accountability with a proactive approach to solving problems
