Job Description:

We are offering an exciting opportunity for a Jr. Legal Secretary in the legal industry. Located in Boston, Massachusetts, this role encompasses providing secretarial and administrative assistance to attorneys, preparing complex legal documents, and maintaining effective client relations in a team-oriented environment.

Job Responsibility:

Draft and process correspondence and memoranda with Microsoft Office
prepare complex legal documents and revisions as per client requirements
carry out e-filing of documents as necessary
manage mail and fax communications, including preparation and processing of outgoing mail and faxes, and coordinating specialized mail or courier services as needed
maintain and update attorneys' calendars with meetings, appointments, due dates, and client-related activities
maintain paper and electronic files in compliance with internal policies, perform routine filing, and retrieve files as needed
offer general administrative support including new matter document processing, phone call screening, message taking, client and visitor direction, and travel arrangement coordination
communicate effectively and professionally with clients and other firm members, anticipating the business needs of assigned attorneys
schedule meetings, arrange conference rooms, and coordinate meal provisions
maintain chronological and administrative files for assigned attorneys

Requirements:

Proficiency in Insurance Defense
solid understanding of billing functions including preparing invoices, tracking payments, and managing expenses
calendar management skills for scheduling meetings, deadlines, court dates, and other important events
strong client relations skills for maintaining positive relationships and providing excellent customer service
experience in litigation including preparing legal documents, conducting research, and supporting attorneys during trials
knowledge of insurance defense
ability to book travel arrangements
experience with e-Filing to file court documents electronically
