Job Description:

We are offering an exciting opportunity for a Jr. Legal Secretary in the legal industry. Located in Boston, Massachusetts, this role encompasses providing secretarial and administrative assistance to attorneys, preparing complex legal documents, and maintaining effective client relations in a team-oriented environment.

Job Responsibility:

  • Draft and process correspondence and memoranda with Microsoft Office
  • prepare complex legal documents and revisions as per client requirements
  • carry out e-filing of documents as necessary
  • manage mail and fax communications, including preparation and processing of outgoing mail and faxes, and coordinating specialized mail or courier services as needed
  • maintain and update attorneys' calendars with meetings, appointments, due dates, and client-related activities
  • maintain paper and electronic files in compliance with internal policies, perform routine filing, and retrieve files as needed
  • offer general administrative support including new matter document processing, phone call screening, message taking, client and visitor direction, and travel arrangement coordination
  • communicate effectively and professionally with clients and other firm members, anticipating the business needs of assigned attorneys
  • schedule meetings, arrange conference rooms, and coordinate meal provisions
  • maintain chronological and administrative files for assigned attorneys

Requirements:

  • Proficiency in Insurance Defense
  • solid understanding of billing functions including preparing invoices, tracking payments, and managing expenses
  • calendar management skills for scheduling meetings, deadlines, court dates, and other important events
  • strong client relations skills for maintaining positive relationships and providing excellent customer service
  • experience in litigation including preparing legal documents, conducting research, and supporting attorneys during trials
  • knowledge of insurance defense
  • ability to book travel arrangements
  • experience with e-Filing to file court documents electronically
