We are looking for a detail-oriented Jr. Intake Paralegal to support the intake process for a busy legal team. This position focuses on speaking with prospective clients, collecting accurate case details, and helping ensure each matter is reviewed and routed efficiently. The ideal candidate is comfortable handling a high volume of calls, communicating clearly, and maintaining organized records in a fast-paced environment.
Job Responsibility
Manage incoming inquiries and place outbound follow-up calls to prospective clients in a timely and organized manner
Conduct intake conversations to obtain complete and accurate information about potential legal matters using established guidelines
Assess new leads and sort them based on matter type, urgency, and overall viability for further review
Enter and maintain detailed case notes, contact records, and related information within the firm’s case management platform
Work closely with internal support staff to assist with opening files and coordinating next-step follow-up activities
Keep communication histories organized and ensure outstanding tasks are tracked and completed promptly
Identify time-sensitive or complex situations and direct them to the appropriate team members without delay
Communicate clearly with attorneys, supervisors, and colleagues to support a smooth and consistent intake workflow
Take part in team meetings, coaching sessions, and training programs to strengthen performance and process knowledge
Requirements
At least 1 year of experience in legal intake, customer service, call center operations, medical intake, or a related support environment
Strong verbal communication skills with the ability to listen carefully and respond with professionalism and empathy
Ability to manage a large volume of calls while maintaining accuracy, composure, and efficiency
Excellent organizational skills with the ability to multitask and document information thoroughly
High attention to detail and the ability to follow defined procedures consistently
Sound judgment, problem-solving ability, and the capacity to prioritize competing demands effectively
Comfort handling sensitive or emotional conversations in a calm and respectful manner
Familiarity with case management software, office applications, and legal support processes is preferred
