Job Description:

The Journeys Operations Assistant is an entry-level, primarily administrative role designed for someone eager to develop operational and product development skills within the travel industry. The ideal candidate is highly organized, detail-oriented, and comfortable managing logistics and communications in a fast-paced environment. They will gain exposure to the full lifecycle of an Indagare Journey - from itinerary development and supplier coordination to passenger communications, trip execution, and post-trip analysis. Reporting directly to the Journeys Operations Manager, the Assistant will work closely with Operations Associates, Leads, and cross-functional teams to ensure seamless trip delivery while upholding Indagare’s reputation for exceptional travel experiences.

Job Responsibility:

  • Assist in developing and refining best-in-class trip itineraries and program content
  • Support supplier outreach, quote collection, and contract tracking
  • Help manage pricing documentation, deposit schedules, and payment link creation
  • Ensure accuracy and consistency across trip materials, documentation, and internal systems
  • Maintain and update Salesforce records related to trip setup, product details, and performance tracking
  • Support sales and promotional initiatives by providing accurate product information and materials
  • Coordinate with Sales, Marketing, and Membership teams to ensure alignment on messaging and trip objectives
  • Follow standard operating procedures to ensure consistency and quality across all Journeys products
  • Provide administrative and operational support to execute Journeys and contribute to departmental goals
  • Manage Salesforce records and ensure accuracy of all passenger and trip-related details
  • Monitor trip-related inboxes and maintain up-to-date traveler records
  • Relay passenger information and updates accurately to regional and local partners
  • Prepare and distribute key passenger communications and ensure a smooth traveler experience
  • Assist in creating internal and external traveler Lookbooks
  • Manage additional service payments, supplier payments, and refunds while maintaining accurate financial records
  • Assist in distributing and analyzing post-trip surveys
  • Compile feedback and support the preparation of insights and reporting for internal stakeholders
  • Track and update key operational metrics to inform future trip planning and improvements
  • Manage team calendars, coordinate meetings, and support event logistics
  • Attend meetings (virtually or in person) and document key action items
  • Provide operational backup when Operations Associates or Leads are traveling or out of the office
  • Rigorously follow Indagare Journeys standard operating procedures to maintain quality and consistency of service delivery
  • Undertake additional duties as assigned, demonstrating flexibility and adaptability

Requirements:

  • 1+ years of full-time professional experience preferred
  • Strong organizational skills with demonstrated ability to meet key milestones on time and with quality
  • Excellent attention to detail and follow-through, and a high standard of excellence
  • Ability to adjust to changing priorities and handle multiple assignments at once in a fast-paced, dynamic environment
  • The ability to work both independently with minimal supervision, and collaboratively as part of a team
  • A positive and collaborative attitude
  • Technical skills to get the job done. This includes being proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Google Docs, Google Sheets). Slack, Salesforce, ClickUp, and Zoom experience preferred
  • Bachelor’s degree preferred
