Appfire is looking for a highly organised and detail-orientated IT Procurement Partner to manage the end-to-end lifecycle of our software and hardware tools. This role will be responsible for vendor communication, renewals, negotiations, procurement operations, cost optimisation, and maintaining accurate records of all SaaS subscriptions and contracts. You will work closely with IT and engineering leadership, internal stakeholders, finance, and procurement to ensure we secure the right technologies at the best value.

Job Responsibility:

  • Own the complete lifecycle of 100+ software tools and hardware across engineering and other departments
  • Manage renewals proactively, ensuring no lapse in services
  • Maintain an organised system of contracts, subscription terms, renewal dates, and usage metrics
  • Lead procurement processes via Coupa, including contract creation, purchase orders, NDAs and invoices
  • Partner with leadership, finance and legal teams for budget alignment, compliance and contract review
  • Conduct market research and recommend alternative tools and vendors where applicable
  • Vendor Communication & Negotiation - serve as the primary point of contact for vendors, negotiate pricing, contract terms, and enterprise agreements, evaluate vendor performance, turnarounds and conduct business reviews
  • Stakeholder Management - collaborate with Engineering, IT, Product, and Business teams to understand tool requirements, coordinate with the budget owners and other stakeholders for the sign-offs on new purchases and renewals, advise tool administrative teams on the cost optimization and tool rationalization
  • SaaS Optimization & Reporting - track usage, underutilized licenses, and opportunities for consolidation, prepare periodic reports on spend, savings, and vendor performance, implement best practices for SaaS governance and vendor risk management

Requirements:

  • Bachelor's degree in IT, Business, Finance, Supply Chain, or equivalent experience
  • 4-6 years of experience in SaaS operations, IT procurement, contract management, or vendor management
  • Experience negotiating SaaS contracts and managing vendor relationships
  • Familiarity with procurement tools (Coupa preferred)
  • Strong analytical and financial skills
  • Exceptional communication and stakeholder-management abilities
  • Strong understanding of SaaS license models, cloud billing, and usage analytics
  • Certifications: CSAM, ITIL, SaaS Operations/FinOps certifications
  • Experience working in engineering-heavy SaaS companies
