Job Description:

National law firm has an immediate opening for an IP Legal Secretary to join the team in Palo Alto, California. Responsibilities include providing essential support to patent prosecution attorneys, managing administrative tasks, and ensuring timely and accurate preparation of patent-related documentation. This position is full-time and onsite in Palo Alto, CA. Ideal candidates should have 3-7+ years of experience supporting patent prosecution attorneys.

Job Responsibility:

Oversee calendar management for attorneys, ensuring deadlines and appointments are accurately scheduled
Manage patent docketing systems to track key dates and filings
Prepare and assist with the submission of patent prosecution documents to the USPTO
Coordinate patent preparation tasks, including document formatting and proofreading
Handle administrative duties, such as correspondence, record-keeping, and filing
Facilitate communication with clients to address inquiries and provide updates on patent matters
Ensure compliance with USPTO filing requirements and procedures
Collaborate with attorneys to optimize workflow and meet critical deadlines
Maintain organized and accessible records for patent applications and related documentation.

Requirements:

Minimum of 3 years of experience as a legal secretary, specifically in patent prosecution support roles
Strong knowledge of patent prosecution and USPTO filing procedures
Experience with patent docketing systems and document preparation
Effective communication skills for client interactions and team collaboration.
